2027 ITDP Participant Agreement, Assumption of Risk, Liability Waiver, and Media Release

Please be sure to read this section thoroughly. By completing and submitting the ITDP application, the applicant is acknowledging having read and understood ITDP's provisions, code of conduct, emergency policies, as well as participant expectations and responsibilities.

1. Insurance Responsibility

I acknowledge and agree that participants are solely responsible for obtaining and maintaining, at their own expense, any and all insurance coverage, including but not limited to travel insurance, health and medical insurance, and coverage for trip interruption, delay, or cancellation.

I understand that ITDP does not provide such insurance and assumes no responsibility for any costs, losses, or expenses incurred as a result of travel disruptions, medical needs, or other unforeseen circumstances. I agree to bear full financial responsibility for any fees, penalties, or additional expenses arising from such disruptions, regardless of cause.

2. Media Release

I grant ITDP and its representatives permission to photograph, film, and/or make audio recordings of the participant in connection with ITDP programs and activities.

I authorize ITDP to use such materials for educational, promotional, marketing, and publicity purposes, in any medium now known or hereafter developed, without compensation. ITDP agrees that participant names and identifying information will not be used without additional consent.

3. Assumption of Risk

I understand that participation in ITDP programs involves inherent risks, including but not limited to physical activity (such as acting, dance, movement, stage combat, physical comedy, and warm-ups), travel, touring, and recreational activities.

I voluntarily assume all risks, whether known or unknown, associated with participation in these activities.

4. Travel & Transportation

All items below were acknowledged in previously executed registration materials.

FLIGHTS

Participants are responsible for ensuring proper documentation for travel and for booking their flights to and from Greece and/or onward.

ARRIVALS

ITDP programming officially begins at check-in at the Athens group hotel on July 13, 2027. ITDP will facilitate optional airport transfers to the hotel on July 13, 2027. These transfers are at an additional cost. ITDP will be in touch with the transfer company and participants to be sure they find their drivers. ITDP faculty and staff will greet participants upon their arrival at the hotel to assist with check-in.

DEPARTURES

ITDP programming officially ends after check-in at the final group hotel on July 31, 2027. ITDP will facilitate optional airport transfers to final departing flights on August 1, 2027. These transfers are included in the ITDP housing package. Participants will be responsible for meeting their transfers at the assigned pick-up location and at the assigned time. If the participant misses their scheduled transfer, it will be their responsibility to make alternative arrangements. Participants staying beyond this date or departing earlier or from a different location than the group hotel are responsible for their own travel arrangements and supervision while in Greece and beyond.

CUSTOMS & REGULATIONS

ITDP will provide some resources regarding customs and regulations prior to the trip; however, it is the responsibility of the participant to become familiar with and abide by the customs and regulations of the countries involved.

TRANSPORT OF BAGGAGE & BELONGINGS

Participants are responsible for managing their baggage between locations (ie. from the hotel into the charter bus, from the bus onto the ferry, from transfer stops to hotel enterence and rooms). Participants should expect to transport their belongings for a 5-7 minute walk and/or up a flight of stairs without guaranteed assistance.

PARTICIPANTS UNDER 18

If the participant is under age 18, at any time during ITDP programming, the participant shall be accompanied by an adult guardian/chaperone during that time or must complete an under-18 chaperone waiver.

5. Housing Participation

I acknowledge that ITDP's housing package is optional and is not a requirement for participation in the program. ITDP-provided accommodations are basic, dormitory-style/shared housing. I acknowledge and accept the nature of these accommodations before booking, and understand that I should independently book accommodations if I require specific health, independent living, and/or self-care needs, or have difficulty with the demands of Greece’s climate and landscape, as ITDP is unable to offer personalized housing in these areas. All housing fees are non-refundable once payment has been received. I acknowledge that if I choose to relocate or obtain alternative accommodations for any reason after payment, including dissatisfaction with the assigned accommodations or roommates, I am solely responsible for arranging and paying for such accommodations. No refund, credit, or reimbursement of ITDP housing fees will be provided.

6. Release and Waiver of Liability

To the fullest extent permitted by law, I hereby release, waive, and discharge ITDP, including its officers, directors, employees, agents, and independent contractors, from any and all liability, claims, demands, or causes of action arising out of or related to any injury, illness, loss, or damage sustained by the participant while participating in ITDP programs or activities, whether caused by negligence or otherwise. This includes, but is not limited to, activities such as classes, rehearsals, performances, travel, touring, sightseeing, group activities, and personal recreation time.

I further agree not to bring any legal action against ITDP for such claims and acknowledge that I assume full responsibility for any resulting medical or related expenses.

7. Emergency Contact and Medical Authorization

Before the program begins, ITDP will require all attendees to submit emergency contacts, important medical information, and medical authorization to be used only in case of emergency. ITDP will make reasonable efforts to contact the designated emergency contact(s) in the event of illness, injury, or emergency. If an emergency contact cannot be reached in a timely manner, or if immediate action is required, attendes ITDP and its representatives to obtain and consent to necessary medical care on behalf of the participant.

This authorization includes, but is not limited to, emergency transportation, diagnostic procedures (including X-rays and scans), medical treatment, hospitalization, surgery, and dental care, as deemed necessary by licensed medical professionals.

By signing and checking the box at the end of this form, I acknowledge that if accepted to ITDP, I will provide the requested information as well as authorization. I also understand that such care will be provided by third-party providers and not by ITDP. I agree to assume full financial responsibility for any and all medical expenses incurred, whether or not insurance has been obtained.

8. Unforeseen Circumstances / Force Majeure

I acknowledge and agree that ITDP shall not be held liable for any delay, disruption, modification, or failure to perform any aspect of the program where such delay or failure results from causes beyond its reasonable control (“Force Majeure Events”).

Force Majeure Events include, but are not limited to, acts of God or nature; severe weather; natural disasters; public health emergencies, epidemics, or pandemics; acts of war or terrorism; civil unrest; governmental actions or regulations; labor disputes or strikes; transportation interruptions or delays; utility or resource shortages (including water or power); or any other condition or circumstance beyond the control of ITDP.

I understand and agree that ITDP reserves the right, in its sole discretion, to modify any aspect of the program, including but not limited to program location, host site, itinerary, or scheduled activities, if a Force Majeure Event or other circumstance arises that may impact participant safety or ITDP’s ability to deliver the program as planned.

In such circumstances, I acknowledge that participants will be notified as promptly as reasonably possible. I further understand and agree that any such modifications shall not constitute grounds for cancellation, refund, or financial reimbursement, and that I remain responsible for any additional costs or expenses incurred as a result of such changes.

I acknowledge and agree that participation in ITDP requires adherence to all program policies, behavioral expectations, and applicable laws. ITDP reserves the right, in its sole discretion, to issue warnings, restrict participation, remove a participant from program activities or housing, or dismiss a participant from the program for violations of the following standards:

Harassment, Misconduct, and Safety

Prohibited conduct includes, but is not limited to, unwelcome sexual advances, requests for sexual favors, verbal or physical conduct of a sexual nature, acts of violence, intimidation, coercion, manipulation, or humiliation.

Housing Conduct and Property Responsibility

I agree to maintain a reasonable standard of cleanliness, hygiene, and respect within ITDP-provided accommodations. Excessive noise, damage to property, or disregard for roommates, hotel staff, or other guests is prohibited.

ITDP reserves the right to inspect participant accommodations if concerns are reported. Participants may receive a warning and be required to correct behavior. Failure to do so, or any significant damage to property or belongings, may result in removal from ITDP housing. Any resulting housing changes, damages, or associated costs shall be the sole responsibility of the participant.

Respect for Staff, Partners, and Facilities

I agree to conduct myself respectfully toward ITDP staff, instructors, partners, vendors, and all facilities and properties associated with the program. I understand that disruptive or inappropriate behavior may result in a warning at the discretion of the Program Director. Continued misconduct may result in additional warnings, restriction from activities, or immediate dismissal from the program.

Dismissal from the program shall be at the participant’s expense, and no refund or financial reimbursement will be provided.

Attendance and Participation

I acknowledge that full participation in scheduled classes, workshops, and program activities is expected. Absences must be communicated in advance or supported by a valid medical or approved reason. Multiple unexcused absences may result in restricted participation in specific classes at the discretion of ITDP instructors and leadership.

Final Determination

I understand and agree that all decisions regarding participant conduct, disciplinary action, and dismissal are made at the sole discretion of ITDP leadership and are final.
